This role is based at our client site in Auckland
The role is Flexible Full Time position
The working hours are 40 hours per week, Monday to Friday

About the Role

As the Flexi Business Services Assistant you will be comfortable wearing a number of different hats. On any given day you could be the first point of contact for all visitors at reception and you will ensure a five-star level of service is delivered to create a memorable first impression. 

You will actively manage meeting room set-up and pack-down, lend yourself to assist with event coordination and provide catering support to our Front of House team.

You will also at times provide services in one of our friendly mailrooms or facilities service centres where you will assist with contractor access, incoming couriers & mail distribution and replenishing the buildings essential office supplies. 

This role requires you to maintain confidentiality, show discretion & represent our clients in an ethical and professional manner. This is required across a minimum of two key account client sites within the Auckland CBD.

Main Duties

Meeting room reservations, utilising the complete MS Suite of applications - Outlook, Word & Excel. 
Welcome & escort clients to meeting suites or throughout the client site
Answering phone calls promptly, professionally and attentively. Monitoring shared email inboxes. 
Offer & serve refreshments as required.
Access card management in accordance with the client's guidelines.
Maintain a neat and well-groomed appearance as per uniform guidelines. 
Safe and efficient handling of inward/outward mail. 
Provide cover of staff absences, being prepared to work 'agile'.

Key Requirements

Superior organisational skills, professional presentation and attention to details
Intermediate MS Office skills (Outlook, Word, Excel) and room booking software experience preferable
Excellent communication skills
A positive attitude and a flexible nature
Ability to work within a diverse team and independently when needed is crucial
Adaptable to change
Experience in front office administration and/or hospitality preferred but not essential.
Committed to delivering excellent customer service
