Executive Assistant - Pacific Development Office-2300730PACIFIC DEVELOPMENT OFFICECLIENT SERVICESThe role/Te mahiTalofa lava, Kia orana, Mālō e lelei, Fakaalofa lahi atu, Bula vinaka, Mālō ni, Noa’ia, Halo ola keta, Mauri, Fakatalofa atu and warm Pacific greetings.We are currently seeking an Executive Assistant to support the Pacific Development Office. This role provides culturally appropriate confidential and high-level secretarial and administrative support services, across a range of complex issues, supporting a busy senior leader and a close-knit team.You will be working as part of the Shared Services team, flexibly providing administrative services across the University. A strong customer service orientation and commitment to continuous improvement initiatives is critical to your success.In this role you will:• Be the point of contact for the Director of the Pacific Development Office, anticipating needs, and analysing and assessing requests in order to screen and prioritise urgent matters.• Troubleshoot and initiate action to facilitate resolution and problem solving in a culturally sensitive manner.• Represent the Pacific Development Office and their staff throughout the University and the wider Pacific community.• Draft, prepare, coordinate and review information, high-level communication and documents on a range of matters.• Complete diary management, correspondence, meeting administration and organising travel arrangements.Your skills and experience/Kā pūkeka me kā wheakoTo be successful in this role, you will have:• Knowledge and understanding of Pacific cultures and customs is a requirement to enable appropriate interactions within the working community.• Proven experience working in an administrative/secretarial role in a busy or complex environment, with experience working supporting a senior manager/executive an additional advantage.• A passion for delivering exceptional service to customers.• An ongoing commitment to positive outcomes for our students, staff and visitors Understanding and appreciation of Pacific people’s aspirations in the New Zealand context will be beneficial. Knowledge or understanding of Pasifika languages is advantageous, but not required.About our team/Mō te tīmaThe Pacific Development Office supports the implementation of the Pacific Strategic Framework across the University of Otago, leading a variety of strategic projects and engaging closely with leaders across the University and the wider Pacific community.Further details/PūrokoThis is a full-time (1.0 FTE), 12-month fixed-term position, located in Dunedin.We would consider a secondment arrangement where a current University employee is released to take up this position and then returns to their permanent position when this position ends. Any secondment arrangement would need the support of your current manager.
