Job Description - Events Co-ordinator (HOT0 B9 WQ)Job Number: HOT0 B9 WQWork Locations Hilton Auckland Hotel, Princes Wharf, 147 Quay Street, Auckland 1010 The Events Co-ordinator coordinates negotiation processes, Letters of Agreement, secretarial backup, hotel inspections, or any other specific projects as assigned, under the general guidance and supervision of the Groups, Meetings & Events Manager. What will I be doing?As the Events Co-ordinator, you will be responsible for performing the following tasks to the highest standards: Manage incoming calls and correspondence for the Banquet Sales teams. Assist managers with document preparation, filing, and distribution. Maintain organized filing systems and ensure office tidiness and sufficient stock of supplies. Stay informed about event details and assist with inter-departmental coordination. Understand and manage client relationships for designated managers. Handle enquiries and guests’ requests independently, providing initial suggestions and coordinating with relevant departments. Update group charts, prepare reports, and conduct site inspections as needed. Send post-event critique forms and thank you letters. Support ad-hoc projects and maintain professionalism and hospitality standards. Adhere to hotel hygiene and food safety procedures. Perform additional duties as assigned. What are we looking for?An Events Co-ordinator serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow: University graduate. At least 1 year of experience in a similar role with international chain hotels. Excellent written and spoken English, with strong communication and interpersonal skills. Effective team player. Ability to work under pressure and handle stressful situations during busy periods. Very familiar with the local market and good at marketing trend analysis.
