Responsibilities You'll provide high-level administrative and operational support to our Department Heads, keeping calendars, inboxes, processes, and communications running flawlessly.
You'll also contribute to company-wide initiatives and projects, ensuring the leadership team can focus on strategy and growth.
Manage Department Heads' inboxes, prioritising and flagging key correspondence Maintain and coordinate calendars/diaries, schedule meetings, and prepare agendas Book and organise Strategy Team meetings, take minutes when required, and arrange catering Assist with personal errands or PA duties as needed Ensure client-facing resources are professional, accurate, and delivered on time Send and receive courier packages, order supplies, and maintain office systems Answer incoming calls and direct them appropriately Maintain filing systems, Dropbox management, and company SOPs Coordinate office-wide surveys and collate results for review Update and maintain databases including emails, Linked In connections, and Hub Spot records Support distribution of internal and external communications, including newsletters Participate in and manage special projects assigned by Department Heads or Director of Operations Collaborate with cross-functional teams to improve processes and overall efficiency Qualifications You're a proactive, professional, and highly organised individual who thrives on keeping things running smoothly.
You can juggle multiple priorities with ease and maintain a high standard of accuracy and professionalism.
You bring: Proven experience in administration, executive support, or office coordination Strong organisational and time management skills with the ability to prioritise effectively Excellent written and verbal communication skills High proficiency in Microsoft Office/Google Suite; familiarity with Hub Spot or other CRMs Attention to detail and accuracy across all tasks Ability to work independently and collaboratively Professional, personable, and discreet when handling confidential matters Positive, proactive attitude with a solutions-focused mindset Bonus if you have: Previous experience in a PA or EA role supporting multiple stakeholders Experience with survey tools, newsletter platforms, and Dropbox (or similar file management systems)Background in client care or customer service roles Familiarity with creating and managing Standard Operating Procedures (SOPs)Why Join Us?At Profitable Tradie, we don't just talk about growth.
