Working 10am to 2pm five days a week in our Auckland office. Reporting to the Workplace Operations Lead, who is based out of Melbourne, Australia, this role provides day-to-day administrative and facilities support onsite at the Auckland office, ensuring team members and visitors have an excellent onsite experience. This successful candidate needs to be able to work autonomously, be proactive and confident with dealing with any facilities issues that may arise in the Auckland office.**In this role, you’ll be responsible for:****Office Experience & Facilities Support*** Prepare and restock snacks and refreshments daily.* Ensure common areas, kitchens, meeting rooms and reception areas remain tidy, functional and welcoming.* Coordinate meeting room set-ups as required for EGMs who are travelling into the NZ Office.* Meet and greet visitors and contractors and guide them through our induction Sign in system.* Report facilities or maintenance issues promptly.* Maintain office facilities - e.g., printer consumables, lockers, office supplies, coffee machine* Supplier onboarding and creating purchase orders.**Administrative Support*** Support our EA’s based in Australia with NZ events and administration for Ex Co members travelling to the NZ Office.* Represent our P&C team in NZ and assist with events and initiatives within the team.* Assist the P&C team with NZ communications and social platforms.* Sort, log and distribute incoming mail and parcels.* Manage outgoing mail and courier requests.* Office reception support in the form of meeting and greeting external guests as required, signing guests in and performing onsite induction tasks.* Assist with ad-hoc administrative tasks and projects as required.**Delivery & Supplier Coordination*** Receive and record all incoming deliveries.* Liaise with couriers, building management and suppliers where necessary to resolve delivery or service issues.* Maintain an organised system for tracking items and notifying recipients.**Building Access & Security*** Support issuance, tracking and retrieval of building passes and access cards.* Maintain accurate access records and follow security protocols.* Assist new starters on their first day with office orientation and access setup.**Health, Safety & Compliance*** Support the maintenance of a safe and compliant office environment.* Ensure H&S notices, emergency equipment and supplies (e.g., first aid, evacuation packs) are stocked and up to date.* Be the onsite fire warden and participate in emergency procedures or drills where required.* Escalate Health & Safety matters to more senior team members where appropriate.**About You:*** Experience in an administrative, reception or office support role.* Strong organisational skills with the ability to prioritise multiple tasks.* Reliable, proactive and able to work independently.* Excellent interpersonal and communication skills.* High attention to detail and commitment to maintaining a professional office environment.* Experience in a corporate or fast-paced environment.* Basic understanding of office systems (e.g., printers, mail processes, access systems).* Familiarity with Microsoft Office Suite.* Knowledge of Microsoft Co Pilot (or similar tool) and using AI for process improvements and efficiency.
